Registering for services and procedures at our medical center

Heart of the Rockies Regional Medical Center offers a convenient registration process for our patients. All patients having a service or procedure at the hospital will need to register. A registrar is available for non-emergency outpatient services from 7 a.m. - 5 p.m., Monday through Friday, in the registration area next to the main hospital entrance.

All Emergency Department (ED) patients are registered 24/7 in the ED. The ED does not register patients for outpatient services with the exception of after-hours lab and X-ray patients.

Convenient pre-registration

To speed up registration time, patients with a scheduled appointment for services at the hospital can call our Phone Registration line at (719) 530-2360, Monday through Friday, 8 a.m. – 12 p.m. and 1 - 4:30 p.m. The call should be placed at least 48 hours prior to the appointment, and patients should have their insurance card(s) available when they call.

It takes just a few minutes to register over the phone. When pre-registered patients arrive at the hospital for their appointment, they only need to digitally sign the consent form at the front desk and provide their photo I.D. and health insurance card(s) for us to scan.

The front doors and main reception desk of the hospital open at 6 a.m. If you are having a procedure that requires arriving at 6 a.m., please preregister for this service. You will need to be in the Same Day Surgery waiting area at the time you were instructed by your doctor or the pre-op nurse because you may need to complete additional paperwork prior to your procedure.

Gathering preliminary information

A registrar may contact you by phone prior to your appointment to collect your demographic and insurance information. In addition, depending on the type of procedure you are having, other departments may contact you with additional questions regarding your health history and/or to give you instructions prior to your service.

Scheduled C-section patients, surgery patients and sleep study patients should all register prior to the day of their procedure. Expectant mothers should also preregister their baby and update their own demographic and insurance information prior to their expected due date.

What to bring

Patient Financial Services does pre-authorizations for payment prior to the day of service unless the patient is added to the schedule on the same day of service. Pre-authorizations will be done as quickly as possible for patients added on the same day of service. Patients do not need to bring pre-authorizations with them.

Unless you have preregistered for an outpatient service by phone or in person, you will need to arrive 30 minutes before your scheduled service to ensure that you are on time for your appointment. Please bring insurance cards, a government-issued photo ID and any orders from your doctor. Patients should also bring their physician orders if they were given to them.
